AGM meetings

Your AGM. In two languages. Effortless.

Board speeches, shareholder Q&A, notarial minutes — all rendered simultaneously in German and English. You run the meeting; we make sure every question lands exactly where it needs to be answered.

Overview

The annual general meeting is the day of the year when the management board, supervisory board and investor-relations team need to be linguistically precise. Our conference interpreters specialise in listed companies in the Rhine–Main region and work routinely with the major German AGM service providers, notaries and back-office teams — in person in Frankfurt, hybrid or fully virtual.

Why we fit this format

AGM terminology, nailed

Appropriation of profits, discharge of the board, agenda-item structure, counter-motions, meeting chairmanship — we render the specific AGM vocabulary consistently and in your investor-relations voice.

Live shareholder Q&A

We handle the general debate confidently — from a prepared fund manager statement to a spontaneous follow-up from a retail shareholder — without slowing the rhythm of the meeting.

In-person, hybrid or virtual

ISO-4043 booths in the venue, an RSI hub in Frankfurt or mixed formats — we know Interprefy, KUDO and the platform-native solutions used by the major German AGM service providers.

Discretion and compliance

All documents shared in advance — speeches, Q&A prep, M&A details — are treated in strict confidence. Project-specific NDA on request.

How it works

  1. 1 · Briefing

    Enquiry & setup

You describe the format (in-person/hybrid/virtual), date, number of speakers and expected debate length. We propose team and booth setup.

  2. 2 · Preparation

    Terminology & speeches

Review of the notice of meeting, speeches, counter-motions and last year's Q&A. We build a bilingual glossary aligned with your IR wording.

  3. 3 · AGM day

    Live interpreting

We are on site from set-up (or in the hub), synchronised with the AGM service provider, notary and stage director until the chair closes the meeting.

Typical AGM formats

  • In-person AGM with simultaneous booths
  • Virtual AGM (RSI)
  • Hybrid AGM with on-site board and remote shareholders
  • Extraordinary general meeting

Situation

A DAX-40 company needed legally sound English interpretation of the full AGM — from the management board report through the debate to the voting — consistent with the annual report.

Approach

Six interpreters in two booths, aligned with the AGM office and outside counsel. Preparation from speech scripts, annual report, prior-year Q&A and a consolidated AGM glossary.

Outcome

Every floor statement interpreted live, no delay to the agenda, resolutions minuted with legal certainty. The team has returned every year since.

FAQ

How many interpreters do we need for an AGM?
For a typical AGM with English simultaneous interpreting we plan two conference interpreters per language direction and booth. For longer agendas with intense Q&A or multiple target languages we add further colleagues so that concentration and precision stay constant across an eight-hour day.
When should we start preparing?
Ideally six to eight weeks before the AGM. We coordinate with your AGM service provider, notary and investor-relations team, review the notice of meeting, management-board and supervisory-board speeches, counter-motions and expected Q&A topics, and build a bilingual glossary.
Can you interpret shareholder questions live?
Yes. The shareholder Q&A is the most demanding part of an AGM — unpredictable questions, prepared statements read out loud, spontaneous follow-ups. We are specialised in this format and work closely with your back office so that even complex questions on management-board pay, ESG or M&A come across precisely.
In-person, hybrid or virtual — what is possible?
All three. We interpret from ISO-4043 booths in the AGM venue, from a Frankfurt hub for virtual AGMs (RSI via Interprefy, KUDO or the platform-native solution used by German AGM providers) and in hybrid formats with on-site management board and remote shareholders.
How quickly do I get a binding quote?
Usually within one business day — often faster. We need the date, location, languages, format (on-site, hybrid or RSI) and rough attendee count; a quote with team, equipment and terms follows immediately.
How much lead time do you need?
Six to eight weeks is ideal for complex multi-language formats. Short-notice requests are possible — for live M&A processes, ad-hoc disclosures or unplanned meetings we hold capacity flexibly.
Which languages do you cover?
German-English is delivered directly by our Frankfurt team. Through our European and international network of colleagues we also cover French, Italian, Spanish, Dutch, Polish, Chinese, Japanese and more.
Do you also handle conference technology?
Yes. We work with experienced technical partners in Frankfurt and nationwide — booths, tour-guide systems, RSI platforms and streaming from a single source. You get one quote covering interpreting and equipment consistently.
What does conference interpreting cost?
Cost depends on languages, format, assignment length, preparation effort and equipment. You receive a transparent fixed-price quote covering team, preparation, equipment and expenses — no surprises.
How is confidentiality ensured?
All interpreters are bound by statutory professional secrecy. In addition, we sign project-specific NDAs, use secure document channels and respect insider-list and compliance requirements.

Six to eight weeks of lead time is plenty — the earlier we see speeches, agenda and setup, the calmer your AGM day gets.
